What is Marine-CRM?
Marine-CRM is a B2B customer-relationship and maritime-information service operated by CIRCLESEA OÜ. Depending on the purchased package and signed Order Form, it may support customer and company records, vessels, professional contacts, sales pipelines, tasks, projects, quotations, invoices, and related business workflows.
Is Marine-CRM available to consumers?
No. Marine-CRM is offered only for business and professional use. At production launch, paid customer organisations must be established in the EU/EEA unless CIRCLESEA OÜ has completed the additional contractual, privacy, security, and international-transfer review for another jurisdiction.
Can I create an account online?
No. There is no public self-registration, free Service account, free trial account, or unpaid customer access. CIRCLESEA OÜ creates the initial customer account after authorised representatives of both parties sign the Master Services Agreement and Order Form, the related invoice is paid in full, and the customer supplies the onboarding information reasonably required for activation. A customer administrator may then invite users within the purchased seat limit.
How can I request a demo?
Use the Contact Us or Request a Demo form. It requires:
- first and last name;
- email address;
- company name;
- company website; and
- a message.
File attachments are not accepted. Do not include passwords, payment information, or sensitive personal data. Please use a business email where possible; public email domains are not automatically blocked.
After the enquiry is securely saved:
- an on-page confirmation is shown;
- one English-language transactional acknowledgement is sent from support@marine-crm.com;
- the acknowledgement links to the Privacy Policy and provides our contact details without repeating the submitted form content; and
- the request does not create a newsletter subscription or use open- or click-tracking.
The acknowledgement does not guarantee a response time. We do not automatically retry a hard-bounced acknowledgement, but the submitted request remains in the ordinary review workflow.
A demo is a personal presentation without a Service account. Any pilot that gives an organisation its own access is a paid Service period and requires a signed Order Form and payment.
How does the newsletter subscription work?
The separate form accepts any valid email domain and uses affirmative consent and double opt-in. The English confirmation email comes from subscribe@marine-crm.com; its link expires after 48 hours and no automatic reminder is sent. An unconfirmed subscription is deleted after 30 days. Every newsletter identifies CIRCLESEA OÜ, links to the Privacy Policy, and provides one-click unsubscribe without an account, password, or reason. An unsubscribe reply or request to our subscribe or privacy address is also effective immediately. We do not manually import addresses without recorded consent and a new double opt-in, sell or rent the subscriber list, use unique link identifiers or tracking redirects, or allow unrestricted list export. If sending pauses for more than 12 months, a fresh double opt-in is required before it resumes.
What are the standard commercial terms?
The standard commercial structure is:
- Monthly: EUR 550 for one prepaid monthly Subscription Term.
- Annual: EUR 6,000 for one prepaid twelve-month Subscription Term — EUR 600 less than twelve standard monthly terms.
- Implementation and onboarding: EUR 1,000 one-time. This includes two remote system-introduction sessions of up to 60 minutes each and increased-priority onboarding support during the first two calendar months after initial activation.
Prices exclude VAT. The annual fee is charged once and prepaid in full, not split into twelve monthly payments.
The standard package includes:
- two named users;
- company, professional-contact, and vessel records within the purchased scope;
- the Hull / Class data domain plus one additional domain selected in the Order Form;
- quarterly scheduled System Data refresh cycles;
- an isolated CRM workspace;
- deals and pipeline;
- projects and tasks;
- quotations and invoices;
- internal notes, comments, and documents;
- the REPORT tool;
- email support; and
- an organisation-level limit of 200 distinct professional-contact profiles first displayed in a rolling 24-hour period.
A scheduled refresh does not guarantee that every source record changes or remains error-free between cycles. A repeat display of the same profile to the same Customer organisation during that rolling period does not use another unit.
Available add-ons include:
- additional named users at EUR 49 per user per month or EUR 588 for a prepaid annual term;
- additional storage at EUR 15 per 10 GB per month or EUR 180 for a prepaid annual term; and
- extra data domains, machinery scope, priority support, and other additions by signed quotation.
Add-ons do not increase the Base Subscription Fee used for liability-cap calculations.
Subscriptions do not renew automatically:
- every new monthly or annual period requires a new Order Form signed by both parties and full payment;
- an immediately succeeding signed and paid Order Form may continue access without interruption, but that is not automatic renewal;
- unless the Order Form states a later date or customer delay prevents activation, the standard Service is activated within ten Business Days after signature, payment, and receipt of the required onboarding information; and
- the exact Tallinn-time start and end timestamps are confirmed in an Activation Notice.
Fees are paid by bank transfer. The onboarding fee is normally non-refundable once the work is performed. Stopping use for convenience does not automatically create a refund; mandatory EU Data Act exit and any contractual unused-period refund are governed by the incorporated Schedule.
Where does Marine-CRM obtain information?
Depending on the information and approved use, sources may include licensed or contractually authorised providers, official public registers, open-data publishers used under their applicable terms, official company webpages, and customer or user contributions that pass review. Professional-contact data may be supplied by Snov.io or an approved source identified for the relevant record.
Public availability alone is not treated as consent or unrestricted permission to collect or reuse information. A source is not used merely because it appears in a candidate list.
What professional-contact fields may be shown?
The Shared Dataset is limited to professional B2B fields: first and last name, job title, company, corporate email, LinkedIn profile address supplied by an approved provider, country/city, and business telephone number. We do not intentionally include private email addresses, home contact details, personal social-media content, special-category data, criminal data, or children's data.
Is the data guaranteed to be accurate?
No. Data may be incomplete, delayed, inaccurate, inconsistent, duplicated, or contain errors because of the nature and timing of source data. Users must independently verify material information before making operational, safety, compliance, legal, or commercial decisions. Authorised users may report suspected errors through the text-only REPORT tool.
May customers export or resell Marine-CRM data?
No. Scraping, automated extraction, bulk downloading, database reconstruction, resale, onward licensing, or unauthorised redistribution of Platform Data is prohibited. Any allowed export concerns a customer's own Customer Data and qualifying customer-specific outputs. EU Data Act switching, retrieval and erasure rights and formats are described at Data Act Switching; they do not turn Platform Data, Shared Dataset records, provider/source data, or the structure of our database into exportable Customer Data.
Does access to a business email mean that outreach is lawful?
No. Display of a professional contact is not consent and does not make every message or call lawful. Each customer independently determines its lawful basis and must comply with the privacy, direct-marketing, ePrivacy, anti-spam, do-not-call, and suppression rules applicable to its use and the recipient's country. At or before its first communication, the customer must also provide the privacy information required for its own processing, including a clear privacy notice and objection or opt-out route where applicable.
How can a person remove their professional profile?
Use the English-language Do Not Sell or Share My Personal Information form or email privacy@marine-crm.com. No account or fee is required, and routine mailbox-control verification is not required for a matched opt-out. The corporate email associated with the profile is the minimum practical locator; name, company, and explanation remain optional. Only where documented reasonable indicators show fraud, targeted suppression abuse, or attempted manipulation of another person's profile may we temporarily hold the disputed action and ask for the minimum information needed to assess that risk. Once the request is securely saved, a delivery failure does not cancel it. Acknowledgements come from the monitored privacy address and do not repeat submitted data or contain a verification link. We send one completion or no-match email linking to the Privacy Policy without reproducing the former profile or revealing another person's data. We normally implement a matched opt-out without undue delay and within 15 Business Days, subject to any shorter mandatory period.
Does the Website use tracking cookies?
The Website uses Google Analytics 4 only after the visitor gives analytics consent. We use basic consent mode: Google Analytics tags are completely blocked before consent and after rejection, so no cookieless analytics ping is sent. Accept and Reject are equally prominent, Analytics is off by default, and a persistent Cookie Settings route allows withdrawal. Rejection does not disable the Website, forms or Service. Advertising features, Google Signals, User-ID, user-provided data, ads personalisation and sharing for Google's own products are disabled. We do not use Meta Pixel, Hotjar, advertising pixels, cross-site behavioural tracking, newsletter-open tracking or newsletter-click tracking. See the Cookie Policy.
Does Marine-CRM use AI on customer or contact data?
No external generative-AI or large-language-model service receives Customer Data, professional-contact data, account/support/security data, or credentials under the approved launch rule. Marine-CRM does not make solely automated legally or similarly significant decisions about people. See the AI Transparency Statement.
How do I contact support or report a vulnerability?
Customer support: support@marine-crm.com
Privacy requests: privacy@marine-crm.com
Security reports: security@marine-crm.com
Legal notices: legal@marine-crm.com
Support targets are measured only Monday to Friday, 09:00–17:00 Tallinn local time, excluding official Estonian public holidays. We aim to provide an initial response within four Support Hours for a Service-wide critical outage or suspected personal-data/security breach, within one Business Day for a serious impairment of a core function, and within two Business Days for an ordinary support question or REPORT submission. Support and automatic support communications are in English unless another language is expressly agreed. These are operational targets, not guaranteed response or resolution times, an SLA, or a service-credit commitment.
Which documents govern a paid customer?
The signed Master Services Agreement, Order Form, Data Processing Agreement, and incorporated EU Data Act Switching Schedule govern the paid relationship together with the incorporated policies. Within its scope, the DPA controls personal-data processing, except that the Data Act Schedule controls mandatory switching, portability, retrieval, contract-exit, and related erasure mechanics; the signed Order Form controls the agreed price, term, package, and stated limits; and the MSA controls over the public Terms of Use.
